ABOUT THE EVENT
The Italy National Day Celebration was a prestigious event commemorating the anniversary of the Italian Republic. Held at the Grand Ballroom of Mandarin Oriental Kuala Lumpur, the event brought together approximately 1,300 guests including dignitaries, ambassadors, business leaders, and members of the Italian community in Malaysia. The celebration aimed to honor Italian heritage, strengthen diplomatic ties, and create an evening of elegance and cultural pride. With roughly one month of preparation time and significant last minute confirmations from the client, the a.c.e team delivered a large scale event that ran smoothly despite the compressed timeline.

Planning & Setup
The a.c.e team demonstrated strong agility and execution discipline throughout the preparation process, coordinating closely with all stakeholders and vendors to ensure every production element was delivered on schedule. As event requirements evolved, the team responded quickly with clear decision-making, efficient vendor management, and a solutions-driven mindset. Through focused teamwork and strong commitment, all visual and build-up elements were successfully brought together in time for event day, ensuring a smooth and professional delivery.
Program Management
On site, we deployed a full team including a showcaller, emcee shadow, and talent cue personnel to ensure the overall event flow was smooth and organized. A key challenge arose during the event: it was difficult to keep following the ambassador to get the cue to resume the program. We immediately solved this by assigning a dedicated crew member to follow the ambassador closely and relay cues promptly. This quick thinking kept the event moving without awkward pauses or delays. The team also coordinated with multiple stakeholders including embassy officials, venue staff, and vendors to ensure seamless execution throughout the night.
Technical Support
We provided a full technical production package suitable for a grand celebration night. This included LED screens placed strategically around the ballroom to ensure all 1,300 guests had a clear view of the stage and performances. The audio system was carefully calibrated to handle speeches, musical performances, and announcements across the large venue. The lighting system was designed to create a festive yet elegant atmosphere, with spotlights highlighting key moments such as the national anthem and speeches from dignitaries. Additionally, we provided large scale pipe and drape services, which added elegance and structure to the ballroom by defining spaces, hiding technical equipment, and creating a polished backdrop for the celebration.
Networking & Dinner
As the event was a standing and networking dinner, food and beverages were served at food stations throughout the evening. This format encouraged guests to mingle freely while enjoying Italian cuisine, creating a lively and social atmosphere. We coordinated closely with the venue on food and beverage arrangements to ensure smooth flow at each food station, preventing long queues and ensuring all 1,300 guests were served efficiently.
