ABOUT THE EVENT 

The Carlsberg AGM was the annual general meeting for one of the world's leading beverage companies, bringing together approximately 1,000 shareholders at Grand Dorsett Subang. The event required a high level of precision, formality, and professionalism, as AGMs demand strict adherence to protocol, clear audio-visual communication, and seamless logistics for a large crowd. With less than one month of preparation time, the a.c.e team delivered a technically complex and logistically demanding event without compromise. 

 

EXECUTIONS

Planning & Setup 

The a.c.e team have delivered all production elements within the timeline allocated. Key deliverables included an animated e-backdrop, lower thirds for speaker identification, and lollipop signage for wayfinding and branding. For door gift redemption and logistics, we carefully plotted the floorplan and positioned q-ropes strategically to ensure smooth entry and exit flow for 1,000 shareholders, preventing congestion and confusion during high-traffic moments. 

 

Program Management 

The a.c.e team managed screen planning, logistic planning, door gift management, and full on-site coordination. With a large number of attendees, every detail from timing to crowd movement was carefully orchestrated to ensure the AGM ran on schedule and without disruption. 

 

Technical Support 

We provided a full technical production package suitable for a high-stakes AGM, including sound system, lighting, teleprompter for speakers, pipe and drape for door gift storage (keeping gifts organized and out of sight until redemption), live streaming, and LED switcher. The teleprompter ensured smooth delivery of formal speeches, while streaming capabilities allowed remote viewing for shareholders unable to attend in person. 

 

Networking & Door Gift Management 

A key logistical challenge was managing door gift redemption for 1,000 shareholders. Through careful floorplan plotting and q-rope placement, we ensured a controlled, efficient flow that minimized wait times and avoided bottlenecks. The pipe and drape solution kept door gifts securely stored and organized, allowing for smooth distribution at the end of the event.
