ABOUT THE EVENT
The Abbott Next Gen Graduation was a three day presentation and graduation event held at Sheraton PJ for 80 participants. Unlike a traditional corporate graduation, this event required a casual networking setup featuring bean bags, benches, high stools, cocktail tables, sofas, and coffee tables instead of conventional banquet chairs.
A special highlight of the event was the Appreciation Wall, a wall filled with envelopes bearing cohort names where guests could slot message cards for their peers. Additional challenges included last minute printing of message cards and brochures, as well as managing the sequence of gown collection, cohort queuing, and customised trophy, plaque, and medal distribution.
Despite the unconventional furniture setup and tight printing timeline, the team delivered a warm, personalised graduation experience.
EXECUTIONS
Planning & Setup
The most challenging aspect of setup was bringing in non conventional furniture for the event hall. Instead of standard banquet chairs, the team arranged bean bags, benches, high stools, cocktail tables, sofas, and coffee tables to create a casual networking atmosphere for the evening session. This required careful logistics planning and multiple truck trips.
A backdrop was installed with a special feature tied to the Appreciation Wall. Last minute add ons included printing of message cards and brochures, which required the team to coordinate with printers on a tight turnaround.
Program Management
The team proposed and managed the entire sequence of cohorts. This included collecting and distributing gowns in the correct order, managing the queuing of each cohort for stage presentation, and overseeing customisation of trophies, plaques, and medals for each graduate.
For printing materials, the team ensured message cards and brochures were delivered on time despite last minute requests. The special highlight was the Appreciation Wall, a wall filled with envelopes with cohort names where guests could insert message cards for their peers. This became a meaningful interactive element that attendees actively participated in throughout the event.
Technical Support
AV arrangement was simple and handled by the team. The key technical challenge was managing the queuing method and flow for logistics, ensuring that cohorts collecting gowns, trophies, plaques, and medals did not create bottlenecks or delays. The team designed a smooth flow that kept the line moving while maintaining order.
Networking & Dinner
The casual furniture setup described in planning was specifically designed for the evening networking session. The bean bags, sofas, coffee tables, and cocktail tables created a relaxed lounge atmosphere where graduates could mingle and celebrate informally after the formal presentation ceremony.
