EVENT CONTEXT


In October 2025, ASEAN Business Advisory Council (ASEAN-BAC) Malaysia hosted the ASEAN Business & Investment Summit (ABIS) 2025 and ASEAN Business Awards (ABA) 2025, a flagship regional platform held in conjunction with Malaysia’s ASEAN Chairmanship year.


As the official private sector voice to ASEAN leaders, ASEAN-BAC convenes regional business and policy stakeholders to drive economic dialogue and collaboration. The 2025 edition centred on 12 priority initiatives, reflecting ASEAN’s ambition to strengthen integration, investment, and sustainable growth. 


The two-day programme was structured across two core components: 


  • ABIS (Summit): High-level policy discussions, keynote addresses, fireside sessions, and multi-track breakout programmes 
  • ABA (Awards Night): A formal gala recognising outstanding enterprises across Southeast Asia 


Held at MITEC, the event brought over 1,500 delegates, including Heads of Government, policymakers, international business leaders, investors, and representatives from regional organisations. 


As the appointed event management partner, Above Creative Events (a.c.e) led the end-to-end planning, coordination, and execution of the event within a dynamic, high-level multi-stakeholder environment.





EVENT OBJECTIVE


ABIS & ABA 2025 was not a conventional conference. It functioned served as a strategic regional platform supporting
ASEAN’s economic agenda. 

 

At the regional level, the event was designed to: 


  • Strengthen collaboration between public and private sectors across ASEAN. 
  • Aadvance key ASEAN-BAC initiatives for economic growth and integration. 
  • Facilitate cross-border investment, trade, and policy dialogue across the region. 

 

At the national level, the event aimed to: 


  • Position Malaysia as a capable host of world-class international summits 
  • Deliver a benchmark-setting ASEAN experience for regional stakeholders 
  • Strengthen confidence among global stakeholders engaging with the region 


To support these objectives, the event required a secure, well-coordinated, and world-class experience aligned with international standards and high-level stakeholder expectations.



CHALLENGE

Delivering ABIS & ABA 2025 required managing multiple layers of complexity happening simultaneously on event day. 

  • Multiple world leaders were present, each with varying security protocols that required constant alignment and updates. 
  • The programme itself also continued to evolve, with last-minute adjustments made close to event day to accommodate key government stakeholders. 
  • The scale of MITEC as a multi-level venue added another layer of complexity, requiring strict control of movement, access, and crowd flow across different floors and entry points.
  • Coordination needed to be maintained across a wide network of stakeholders, including organisers, sponsors, partners, media teams, and government agencies. 


This wasn’t about avoiding issues. It was about managing them in real time, without disruption.



WHAT a.c.e DID

a.c.e’s approach focused on one priority, ensuring consistency, control, and alignment across every layer of execution. 

Structured Planning & Stakeholder Alignment

From the early planning stages, weekly technical coordination sessions were held to maintain continuous alignment across organisers, sponsors, partners, media teams, and government agencies. This helped establish clear ownership across workstreams and reduced fragmentation in a highly multi-stakeholder environment.

Venue Flow & Access Control

A structured multi-level movement system was put in place across MITEC to manage high delegate volume and complex crowd movement across multiple floors and entry points. With controlled access points, zoning, and defined flow routes, movement was kept smooth despite the scale and layout complexity.

Advanced Registration System

Facial recognition was introduced at primary entry points to enhance security control for a large-scale, multi-entry venue, helping to minimise QR code sharing and unauthorised access. Badge collection was conducted at a separate level, supported by structured screening to ensure controlled access flow and efficiency.



Technical & Operational Readiness 

Detailed contingency planning was implemented to ensure operational continuity, including: 

  • Standby coordination with TNB to manage power demand at MITEC  
  • Reinforced internet connectivity provisions to ensure stable and uninterrupted access 
  • Enhanced structural safety measures for overhead installations, including reinforced rigging systems



Live Coordination & Programme Control

When major agenda changes surfaced close to the event, a.c.e and ASEAN-BAC Malaysia worked side by side to reorganise the programme within a tight turnaround. With the Chairman’s decisive on-ground support, including coordination to bring a related event into the same venue, the team was able to strengthen evening attendance, restructure the flow effectively, and keep the overall experience controlled.



SPECIAL TOUCH

Spatial & Backstage Experience Design

  • a.c.e introduced a backstage funnel concept that had never been implemented before, developed just one month before the event, adding strong impact and a grand, distinctive backstage experience.  




  • ABA featured a dual-stage setup with a main stage and an extended ixora-shaped design, forming a floral pattern from the top view and creating a more intimate, immersive crowd experience with closer audience interaction.





RESULT


Despite evolving on-site demands:  


  • A world-class standard of experience, look, and feel was achieved 
  • The concept and overall structure were developed in close collaboration with the creative director
