How Event Management Is Different Than Event Planning

Two people can both say they need "event management" and mean two completely different things. One wants someone to build an event from a blank page. The other already has a plan and just needs someone to run it on the day. That mix-up costs time and money when you're hiring for a corporate event, so it's worth getting the terms straight before you start briefing anyone.

We handle both ends of this at Above Creative Events (a.c.e), so it's a distinction we explain to clients often. Here's the plain-language version, and how the two functions actually fit together once you're organising anything from a small internal briefing to a multi-day conference.

What Event Planning Actually Covers

Event planning is the thinking stage. It covers the goals, the budget, the concept, the venue shortlist, and the rough timeline, and it usually happens weeks or months before anyone sets foot in a room. The output of good event planning is a plan, not the event itself.

Eventbrite's own event planning guide frames this stage the same way: define your goals and audience, set a working budget, and build the vision before a single chair gets set up. It's the strategic, creative front end of the process, and it's where most of the big decisions get locked in.

What Event Management Actually Covers

This is what turns that plan into a live, working event, and what keeps it working when something doesn't go to plan. Cvent's guide to what event management covers describes it as spanning the full lifecycle, from the initial concept through to post-event ROI reporting. In smaller teams, one person often does both jobs. In larger ones, a planner builds the vision and a separate team is brought in to deliver it.

At a.c.e, we structure our own delivery work in Malaysia around three phases, and it's a useful way to see how the discipline actually breaks down in practice. Each phase asks for a slightly different skill set, which is part of why the two disciplines get confused so often in the first place.

Pre-event

Strategic planning, budget alignment, and goal-oriented execution set the direction before anything gets booked. This is where planning and management start to overlap.

Onsite

Real-time coordination takes over: vendor timing, speaker schedules, and attendee flow all get managed live, with someone ready to adjust the moment something shifts.

Post-event

Data collection, performance analysis, and ROI evaluation close the loop, turning the event into something you can actually learn from.

Where the Two Overlap, and Why People Mix Them Up

The confusion is fair. Most people who plan one event a year end up doing a bit of both. But three things tend to separate the two roles once an event grows past a certain size.

Timeline

Planning happens weeks or months out. Management happens in real time, especially in the final 48 hours and on the day itself.

Skillset

Planning rewards creative and strategic thinking. Management rewards composure under pressure and fast, calm decision-making when a timeline slips.

The deliverable

A plan is a document you can review and revise before anything is final. The other side of the equation is a live result you can only judge once the last guest has left, when it's too late to quietly fix a mistake.

How a.c.e Brings Both Together

Most clients don't want to manage two separate relationships, one for the planning and another for the execution. That's why our conference and event management work covers both ends under one team, from the first goal-setting conversation through to the post-event report.

It's also become one of the areas we're recognised for. At the Malaysia Business Events Awards 2025, a.c.e won in the Event Management Excellence category for B2B Corporate Events, alongside a separate win for Event Excellence in the same category. You can see the full list of wins, including our ESG Practices Excellence and Community Service Excellence awards from the same year, on our credentials page.

On the delivery side, we don't run staging, AV, or technical production in-house. What we do is manage a trusted network of vendors and suppliers directly on the client's behalf, so there's one team accountable for the outcome instead of several parties the client has to coordinate themselves.

Frequently Asked Questions

1. Is event management just a bigger word for event planning?

No. Planning is the pre-event thinking and preparation stage. This other side includes that, plus the live execution, onsite coordination, and post-event review.

2. Do I need both an event planner and an event manager for my event?

For a small internal gathering, one person can usually do both. For a large conference or gala, most organisations bring in a dedicated delivery team once the logistics get complex.

3. Which comes first, planning or execution?

Planning comes first. It sets the goals, budget, and concept that the delivery team then executes, monitors, and adjusts on the day.

4. Can one agency handle both sides of the process?

Yes, and it's usually more efficient. A single team that owns both stages avoids the handover gaps that happen when two separate providers are involved, and it means one party is accountable from the first conversation to the final report.

5. Does a.c.e only handle large multinational events, or smaller ones too?

We work across a wide range of sizes and formats, from single-day meetings to large-scale conferences. The best way to find out if we're a fit for what you need is to get in touch and talk through what you have in mind.

Getting the Right Support for Your Event

Knowing the difference between the two isn't just a vocabulary exercise. It changes what you brief for, what you budget for, and what you should reasonably expect from whoever you hire, whether that's a freelancer, an internal team member, or an agency.

If you're only looking for a plan, a planner alone is enough. If you need that plan delivered live, with someone accountable when things shift on the day, you need a team built for both, and that team should be able to show you how they've handled the handover between the two before, not just talk about it in the abstract.

Good event management doesn't just execute a plan. It protects it when reality doesn't cooperate.

If you're weighing up how much support your next event actually needs, reach out to a.c.e and we'll walk you through what planning and management would look like for your specific event.
