Extraordinary General Meeting

The Axiata Virtual EGM 2025 was held at M Resort & Hotel Kuala Lumpur, gathering approximately 200 shareholders, board members, and key stakeholders for an informative and structured corporate session. 


Designed with a professional yet relaxed atmosphere, the event facilitated important corporate discussions and resolutions in a well-managed and transparent setting. The session maintained a balance between formal governance requirements and a comfortable environment conducive to engagement. 


The primary objective of the Axiata Virtual EGM 2025 was to present and deliberate on key corporate matters requiring shareholder approval. The event was designed to provide shareholders with clear and transparent information on the proposed resolutions, facilitate structured discussion and informed decision-making, ensure full compliance with corporate governance standards, and maintain the smooth execution of voting processes and the formal announcement of results. 



EXECUTIONS


Planning and Setup 

ACE managed the Axiata Virtual EGM end-to-end, overseeing planning, technical production, and on-site coordination. Responsibilities included stage and ballroom setup, audio-visual production with LED display management, registration coordination, programme flow control, console operations, and manpower deployment. Preparations were conducted in close coordination with Axiata’s corporate secretariat to ensure compliance with AGM protocols and governance standards. A structured timeline guided layout planning, seating arrangements, slide testing, microphone configuration, and dry runs for resolution tabling and announcements, with rehearsals and sound checks completed to ensure smooth formal proceedings. 


Program Management 

The EGM featured presentations by key leadership representatives and designated speakers addressing corporate resolutions and strategic matters. 

ACE managed the event flow using a detailed rundown and active console control, ensuring smooth transitions between presentation segments, shareholder queries, and resolution announcements. On-site stage management ensured that speakers were briefed and positioned appropriately, maintaining professionalism and time discipline throughout the session. 


Technical Support 

ACE provided comprehensive technical support, including the installation and management of the LED screen for presentations and resolution displays, a professional sound system, wireless and tabletop microphone setups, audio-visual playback and presentation management, as well as lighting configurations appropriate for a formal corporate governance session. All technical vendors were managed directly by ACE to ensure seamless integration, consistent coordination, and high production standards throughout the event.
