ABOUT THE EVENT
The Capbay MOU Exchange was a formal ceremony held at MITEC during an ongoing fair event. Unlike a standalone event, this ceremony took place within a shared event area where venue, stage, and AV equipment were provided by another company with back to back sessions. The team delivered a smooth MOU exchange ceremony through careful planning and on site advisory.
EXECUTIONS
Planning & Setup
Event preparation was carried out with strong coordination and adaptability, allowing the team to deliver a smooth and well-managed experience for Capbay within a shared fair environment. As the event area, stage, and AV setup were part of a larger activation, the team worked closely around the existing arrangement while ensuring Capbay’s programme requirements were properly aligned.
To strengthen execution readiness, the team took a proactive approach by conducting a full test run at Capbay’s company office before the event day. This allowed all key elements, from content flow to client rehearsal, to be reviewed in a controlled setting ahead of the on-site run-through. With clear preparation and responsive coordination, the team successfully supported the event and ensured the session was delivered professionally.
Program Management
The event programme was supported by a Capbay team member as the emcee, creating a more familiar and brand-aligned presence for the audience. To ensure the ceremony flowed smoothly, the team provided on-ground guidance on stage movements, standing positions, table approach, and photo-facing directions.
This preparation helped the signatories move confidently through each moment of the ceremony, from their entrance to the signing sequence and photography session. With clear direction and close coordination, the team ensured the programme remained polished, organised, and professionally presented.
Technical Support
The team played a strategic support role in refining the overall event flow and strengthening programme readiness. This included advising on smoother transitions, enhancing the emcee script for better clarity and timing, and guiding the client’s team through standing positions to ensure each ceremony moment was well-coordinated and confidently executed.
For visual management, the team also developed a practical and seamless content solution by consolidating all visual materials, including the launch video, into a single PowerPoint presentation. This allowed the programme to transition smoothly between different visual elements while working within the venue’s existing setup. Through thoughtful preparation and resourceful coordination, the team ensured the event remained polished, organised, and professionally delivered.
